ThisT&C section relates to our Volunteers Database, not the club membership, that is underneath in the next section.

1) Who we are & how to contact us

V Well (UK Charity Volunteers Wellness Hub) operates the V Well volunteer directory and wellbeing updates.

2) What data we collect

Directory listings (organisations):

  • Organisation name, area, website, public contact details (email or contact form URL), service descriptions.
  • Source: publicly available information and/or details supplied by the organisation.

Subscribers (people who opt in to updates):

  • Email address, name (if provided), organisation, preferences (Wellbeing Updates, Training & Events, Recruitment Spotlight, PSR Goodwill), interaction data (opens/clicks).

3) How we use your data (purposes)

  • Publish a free public listing so volunteers can discover organisations by location/interest.
  • Contact organisations to verify listing details and volunteer contact routes.
  • Send optional email updates you select (wellbeing, training/events, role spotlights, PSR Goodwill).
  • Service administration (troubleshooting, abuse prevention, analytics on content performance).

4) Lawful bases

  • Legitimate interests: maintain a public directory from public sources; contact orgs to verify/update listings; send operational messages about a listing you control.
  • Consent: sending email updates/marketing (you choose preferences; you can withdraw consent anytime).

5) Where your data comes from

  • Public sources (organisation websites, public registers, press, social media used by the organisation).
  • Directly from you when you submit our forms or email us.

6) Who we share data with (processors)

  • Mailchimp (Intuit) for email delivery and preference management.
  • Website hosting / security providers (for site functionality and logs).
  • We do not sell your data.

International transfers: some processors store data outside the UK/EEA (e.g., Mailchimp). We rely on their data-processing terms and appropriate safeguards (e.g., standard contractual clauses / vendor frameworks) to protect your data.

7) How long we keep data

  • Directory data: kept while relevant and accurate; we periodically re-check and remove on request.
  • Email subscribers: kept until you unsubscribe or we delete inactive records during periodic reviews.

8) Your rights

  • Access, rectification, erasure, restriction, objection, and data portability (where applicable).
  • Withdraw consent any time via unsubscribe or preference links in every email, or by contacting us.
  • Complain to the ICO or your local regulator if you’re unhappy.

9) Cookies & tracking

  • Our site uses essential cookies; email updates may include open/click tracking to understand what content works (you can disable images or unsubscribe).
  • See our cookie notice for details (if you run a separate one).

10) Children

  • Our service is aimed at adult volunteers and organisations; we don’t knowingly collect children’s personal data.

11) Security

  • We use technical and organisational measures appropriate to the risk (HTTPS, access controls, vendor due diligence).

We may update this notice; we’ll post changes on this page with a revised “last updated” date.

Who We Are

Our website address is: https://wellnesswithinclub.com. We are a part of Wellness Within Services Ltd, a UK registered company with a focus on wellness, training and personal development.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website (should you wish to personalise your profile), you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Treatment rooms and other areas on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address may be included in the reset email. We do not sell or rent our data out, it is kept within the company and used to analyse services, provide better communication and allows better data analysis.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue, where comments are left.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Personal safety

We allow Coaches to add content at regular intervals, these are not a direct endorsement from ourselves, but allows us to give users a wider experience and find things that suits their temperament, disposition and objectives within the membership. If you wish to contact a coach directly, we accept no liability for anything that follows from that action (covered in the Coaching paragraph below).

Marketing

If you have left any testimonials for us, we will ask you first if we can use it for any marketing, social sharing or other related activities along with your name and/or image. Our Members and Coaches are not permitted to use any of the material (content) outside of the Spa Club without first seeking permission.

Coaching

You are able to obtain private coaching from our Coaching Community (a network we have within the Club) inside, made up of specialist coaches, trainers, therapists and teachers. These have all contributed material for you to use and benefit from. You have the option of booking private sessions with them. If you do, these are delivered ‘outside’ of the club, so we are not legally liable for anything relating to your coaching sessions, including pricing, content, treatment/therapy or anything related. We are not recommending coaches, we are showcasing them and you are responsible for ensuring they are the right fit for you.

Disclaimer

The courses, training and teaching here has to be used within a context. If you have a condition that requires professional medical intervention or treatment, do not use anything in here as a replacement for specific treatment. If you are undergoing any counselling or therapy, we do not recommend you use anything in here as a replacement, because what is in here is not tailored to your specific need or to address your specific challenge. We do not accept liability for anyone abandoning professional treatment for the training, courses or coaching here.

Some of the coaches in here will have medical or professional training, as we said on this page, if you go with them for treatment, that is a contractural issue between you and them outside of this club. If you are unsure about any treatment, training or courses here, then please STOP, contact us and we will explain what it is, or liaise with someone else you are seeking advise from. You can then make an informed decision.

A lot of the courses, training and exercises in here have come from other sources, such as books or recordings, which have helped thousands of people around the world and are seen as experts in their fields. Our coaches have their own training and experience, so they stand alone with their own disclaimers.

Following the principle of ‘a reaonable person’, a reasonable person would not join a health and wellness club in the expectation that it will ‘cure’ them; we hope we can provide inspiration, support for ongoing change, retraining a mindset and developing new habits.
